What You'll Collect

Email

Email
*Required

Where Zoom sends each registrant's confirmation and join link. Checked for typos, and flagged if it's on the list twice.

First name

String
*Required

Shown in the webinar's registrant list and reports.

Last name

String

Leave blank only if your registration form doesn't require it.

Need more than three rows?

Collect your whole registrant list.

The free template is limited to three rows so you can try the workflow. Create your own form to gather registrants from partners, sales reps or a past event's sign-up sheet.

Create your own form

Zoom's three columns

Email, first name and last name, in the order Zoom reads them.

Checked as they type

Typos in emails and stray spaces are flagged or cleaned before they reach Zoom.

No double registrations

The same email twice is flagged, so each person gets one confirmation.

Up to 1,000 rows

Room for a full webinar's registrations, or several partners' lists combined.

How it works

From a sign-up sheet to Zoom in three steps.

01

Collect

Import an existing list, or send the form to whoever is gathering registrations.

02

Complete

One registrant per row. Bad emails and repeated registrants are highlighted.

03

Download and import

Download the CSV, delete its first line (the column headers), then click Import from CSV under Manage Attendees on your webinar.

Why use a form?

A registrant list that Zoom takes the first time.

Zoom's import reads the columns by position: column A is the email, B the first name and C the last name, and its own sample file has no header row. A list with the columns in another order, an extra column or a typo in an email doesn't import the way you expect, and a mistyped address means that person never gets their join link.

A form keeps the three columns in Zoom's order and checks every email as it's entered.

Columns by position

Email first, then first name, then last name, the order Zoom reads them in.

Mistyped emails

Flagged as they're entered, so nobody misses their join link.

The header row

Zoom's sample has none: delete the first line of the download before uploading.

How Zoom imports webinar registrants

Zoom Webinars can import registrants from a CSV file and approve them automatically. Open the webinar in the Zoom web portal, scroll to Manage Attendees and click Import from CSV, then upload the file. When it finishes, the View Registrants window lists everyone imported as approved, and Zoom emails each of them a confirmation with their join link.

The file has three columns in this order: email, first name and last name. Zoom's own sample file has no header row, so after downloading from this template, open the CSV and delete its first line before uploading. The file can be up to 2MB, which is tens of thousands of registrants.

Importing needs a Pro, Business, Education or Enterprise account with the Zoom Webinars add-on, and works only for single-occurrence webinars: recurring webinars and webinars charging a registration fee through PayPal don't offer Import from CSV. Account owners and admins can import for other users from User Management, on the webinar's Invitations tab.

If your registration form has other required questions, such as a company name or job title, imported registrants are sent to the registration page to answer them before they can join. To avoid that, make those questions optional before importing, or keep the registration form to the details you're importing.
