Why use a form?

Guest lists break at the door, not at import.

A guest list from five sponsors arrives with ticket types spelled five ways, the same person twice and countries written out in full. A check-in tool takes all of it, so the problems show up as duplicate tickets, extra ticket types and guests nobody can find at the door.

A form keeps every list in the same columns and flags the mistakes before you import.

Ticket types spelled differently

VIP and V.I.P. become two ticket types: help text asks for the same spelling every time.

The same guest twice

A repeated email is flagged, as each guest's email can appear once.

Country names instead of codes

Country takes a 2-letter code such as US: a name like United States is flagged with the code to use.

How check-in tools import a guest list

Most event check-in and ticketing tools import attendees from a CSV: you upload the file, match its columns to the tool's fields and it creates a ticket for each row. This template uses the column names Guest Manager pre-maps, such as First Name, Email, Ticket Type, Quantity and List. Other tools that match columns on upload, such as Zuddl, take the same file with a click per column.

In Guest Manager, open the event, go to its Imports section and start a new ticket import. If every header is recognised, the import starts straight away; otherwise the Map your data screen lets you match or skip each column. Files must be CSV saved as UTF-8 rather than Excel, and imports over 100 rows need an approved account.

Ticket Type and List are matched by name, and a name that doesn't match creates a new one, so a typo makes an extra ticket type. Quantity sets how many tickets the row creates, Guests holds the names of the rest of the party, and Tags are separated by commas. Country and State take two-letter codes such as US and NY.

Each contact's email must be unique, because it belongs to one person. To email tickets on import, add a Send Email column set to Yes on the rows that should get one (it's left out of this template, so nobody is emailed by accident), and check your account is approved to send.
