What You'll Collect

First Name / Last Name

String
*Required

Kept separate. Zoho requires a last name on every contact, and a full name in that column is a common reason imports go wrong.

Email

Email
Unique

Checked as a real address. Each can appear only once, so nobody is imported twice.

Phone / Mobile

Phone

Any common layout. Letters, Excel's scientific notation and too few digits are flagged.

Account Name

String

The company they work for. Zoho links the contact to an account with this name.

Title / Department

String

Their role and team.

Lead Source

String

One of the lead sources set up in your Zoho CRM.

Mailing Address

String

Street, city, state, zip and country in Zoho's mailing address fields. Zip codes keep leading zeros.

Description

String

Anything worth knowing about the contact.

Need more than three contacts?

Collect up to a thousand contacts instead.

The free template is limited to three rows so you can try the workflow. Create your own Import Builder form when a sales rep, partner or client needs to send you their full contact list.

Create your own form

Up to 1,000 rows

Enough for a lead list, an event's attendees or a move from another CRM.

Zoho field names

Columns are named after Zoho's contact fields, so mapping them is quick.

Checked as they type

Missing last names, repeated emails and bad phone numbers are fixed before you get the file.

Your own fields

Add the custom fields and picklists you use in Zoho, with the rules you need.

How it works

From contact list to Zoho CRM in three steps.

01

Collect

Send the form to whoever has the contacts: a sales rep, a partner or a client.

02

Complete

They type, paste or import their list. Problems are highlighted until every row is fixed.

03

Download

Download the CSV and import it in Zoho CRM under Contacts, matching each column to a field.

Why use a form?

Zoho won't import a contact without a last name.

Every mandatory field has to be filled in on every row, and for contacts that's the last name. Spreadsheets from other people often have one Name column, blanks and the same person twice.

A form fixes that at the source, with the person who knows the right details.

Missing last names

Every row needs one before the CSV can be downloaded.

Full names in one column

First and last names are separate columns from the start.

Duplicates

Repeated emails are highlighted, so nobody is imported twice.

Importing contacts into Zoho CRM

Zoho CRM imports contacts from a CSV or Excel file. During the import you match each column in your file to a Zoho field, and every mandatory field must be matched and filled in on every row. For contacts, the mandatory field is Last Name, although your organisation can make others required too.

One of the most common problems is a single Name column. If full names end up in Last Name, every contact's surname is wrong. This template keeps First Name and Last Name separate and won't export until every row has a last name.

Emails are checked as they're typed and must be unique, phones are checked as phone numbers, and zip codes are kept as text so leading zeros survive. The columns use Zoho's standard contact field names, so the mapping step is quick.

Need custom fields, picklist values or other modules such as Leads or Accounts? Create your own form with the columns you use in Zoho. The export uses whatever headers you set.

Need a CSV form of your own?

Create a custom Import Builder form with your own fields, validation and row limits.
