Download the file and import it in QuickBooks Online under Products and services, matching each column.

Why use a form?

A products import can't be undone.

Once QuickBooks imports a list, there's no undo: mistakes have to be fixed item by item. Duplicate names, sub-accounts where parent accounts are needed and prices with currency symbols are the usual culprits.

A form catches them before the file ever reaches QuickBooks.

Duplicate names and SKUs

Every repeat is highlighted until only one is left.

Missing or wrong accounts

Every item needs an income account, and the field explains it must be a parent account.

Prices that aren't numbers

Currency symbols and text in prices are flagged.

QuickBooks products and services template

Importing products and services into QuickBooks Online

QuickBooks Online imports products and services from a spreadsheet. In the import, you download QuickBooks' sample template or use your own file, then match each column to a QuickBooks field with dropdowns. This template uses QuickBooks' field names, so that matching is quick.

A few rules catch people out. The income and expense accounts on each item must be parent accounts, not sub-accounts, so import or set up your chart of accounts first. Intuit's help says you can import up to 1,000 rows at a time. And an import can't be undone, so try a small file first.

This template covers services and non-inventory items, which most service businesses and many retailers need. Inventory items also need a quantity on hand and an as-of date, in your QuickBooks company's date format; add those columns to your own form if you track stock in QuickBooks.

Use the form to collect a price list from a client, or to tidy up a list you already have: duplicate names and SKUs, missing accounts and symbols in prices are all flagged before you download the file.
